  • Overview

    This position is responsible for executive-level administration and coordination of activities for designated Executive team member(s) and other senior leaders as appropriate.

    Responsibilities

    • Effectively manage SVP/EVP schedules and calendars to enable focus and delivery of key company priorities, including complex meeting coordination, running interference, and anticipating needs with extreme confidentiality
    • Work closely and effectively with the SVPs/EVP to keep him/her well informed of upcoming commitments and responsibilities, following up as appropriate
    • Handle information requests and coordinate execution of company-related programs
    • Prepare various Word, PowerPoint, and Excel documents to ensure accuracy, confidentiality and professionalism
    • Manage and control expenses, invoices and accruals.
    • Coordinate and manage office supplies
    • Lead document management and filing
    • Communicate and handle incoming and outgoing electronic communications on behalf of leaders. 
    • Assist team in the development and coordination of executive presentation materials for a variety of meetings
    • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
    • Arrange travel schedule and reservations for executive management as needed
    • Other duties as assigned

     

    Qualifications

     

    • 8+ years experience supporting at the executive level in a fast-growing environment
    • Advanced calendar management skills, including the coordination of complex executive meetings
    • Experience assisting management with the creation of PowerPoint presentations
    • Experience scheduling travel arrangements for management
    • Demonstrated experience in creating and modifying processes to enhance internal customer experience
    • High school diploma or equivalent required – post-secondary degree preferred
    • Ability to work in a high-growth and fast-paced organization, provide flexibility and can-do attitude
    • Ability to work with all levels of staff
    • Ability to take direction from many managers.
    • Remain organized, flexible, calm under pressure, while working independently
    • Proactive anticipation of the needs of the leaders.
    • Ability to establish trust and handle confidential information
    • Ability to successfully manage interruptions during the workday to meet employee and company needs
    • Forward looking thinker, who actively seeks opportunities and proposes solutions

     

    Knowledge, skills & abilities:

    • Expert level written and verbal communication skills
    • Advanced in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms. Experience with Office 365 preferred.

     

    Working Conditions (if applicable):

    • Ability to work overtime, as needed
    • Office environment conditions with heavy computer use
